Treasurer Reports / Financials Update

- Adjustments to be made: 1) Branching Streams-related income and expenses; 2) estimated bookkeeper costs; and 3) interest income for funds not counted from LiveOak transfers.
- 2nd draft will go to finance committee for approval and can be finalized for May meeting.
- Board members expressed interest in an orientation to the chart of accounts.
Finance Board Committee
- Bookkeeper
- Paula & Adrienne: Hiring bookkeeper justifies the complexity of the org. We are awaiting one more recommendation. Having a bookkeeper would help with managing finances separate from treasurer tasks.
- Treasurer & Director roles
- Paula is trying to differentiate roles better so that these roles do not require as much experience with finances/bookkeeping.
- It would help to have an actual bookkeeper to be able to rely on for general needs including monthly reconciliations/closings and reports, income line breakdowns, etc.
- Hogetsu: It would be good to have very specifics on what Paula was doing in terms of differentiation between Director and President role
- Paula is working on and will distribute a step-by-step manual of all her tasks to ensure smooth transition.
- Treasurer
- Per Paula: Treasurer should be someone who can oversee flow of money in/out of ADZG and understand reports, be able to have an intelligent conversation with a bookkeeper, but also not have to do intensive data-entry.
- Treasurer history: We had Dave Doerksen and Will Robinson, who had business experience. The last few treasurers had short tenures.
- Director
- Originally a position conceived as practice roles modeling monastic roles
- Douglas was director & president for 10 years
- Hogetsu advocates for this to be changed to an Administrator role.
- Next steps
- Adrienne will talk to 2nd rec’d bookkeeper and will send out contract/recommendations.
- Board will vote for the bookkeeper prior to the next board meeting.
- Paula is trying to differentiate roles better so that these roles do not require as much experience with finances/bookkeeping.
Paula’s Transition Timeline
- Revisiting timeline
- Paula creating step-by-step manual for each job incl president.
- 4/1: Adrienne begins doing orientation for new bookkeeper, training begins of new director if selected, including transfer of bank accounts
- Uncertainty re: who might fill director/administrator role
- Mike Evans and Kelly Laughlin are possible candidates
